Printer says offline when it isn’t: how to fix it
“Offline” on a printer that’s plainly switched on and connected is nearly always Windows getting confused, not a broken printer. These fixes go from quickest to most thorough.
1. Uncheck “Use Printer Offline”
Windows sometimes flips this on itself. Settings > Bluetooth & devices > Printers & scanners > your printer > Open print queue > the Printer menu > untick Use Printer Offline. This alone fixes a large share of cases.
2. Restart the Print Spooler
A stuck print job jams the whole queue and shows as offline. Open Services (search “services”), find Print Spooler, right-click > Stop, wait a few seconds, then Start. Clear any stuck jobs from the queue first.
3. Confirm the connection
- USB: reseat the cable and try a different port.
- Wi-Fi: make sure the printer is on the same network as your PC. A printer that jumped to a guest network, or a PC on a different band’s isolated network, will show offline.
4. Run the built-in troubleshooter
Windows 11’s printer troubleshooter (in the Get Help app) resets a lot of this automatically — worth a run before the deeper steps.
5. Disable SNMP (network printers — the one nobody mentions)
For network printers, Windows uses SNMP to check status, and a mismatch makes it falsely report offline even though printing would work. Control Panel > Devices and Printers > right-click the printer > Printer properties > Ports > select the printer’s port > Configure Port > untick SNMP Status Enabled. This is the fix for a printer that stubbornly shows offline despite everything else.
6. Remove and re-add the printer
If it’s still stuck, remove the printer (Settings > Printers & scanners > your printer > Remove), restart the PC, then Add device and let Windows reinstall it clean.
When it’s actually the printer or network
If no computer can reach it and the printer’s own screen shows a network error, restart the printer and your router. Older printers sometimes drop off Wi-Fi after a router change and need re-adding to the network from the printer’s menu.

Why does my printer go offline every day?
Usually SNMP (step 5) or the printer sleeping and reconnecting slowly. Disabling SNMP and giving it a static IP on your router stops the daily drop.
It prints from my phone but not my PC — why?
That points squarely at the PC’s queue/driver, not the printer. Do the “Use Printer Offline” and spooler steps, or remove and re-add it.
Do I need the manufacturer’s app?
Windows’ built-in driver is usually enough. The maker’s app can help with setup and firmware but isn’t required to clear an offline state.
